Proposals that answer the question
your reader is actually asking.

Your prospect is asking one thing: ‘why should I say yes?’ A well-structured proposal answers that question before they finish reading. We build every proposal around the reader’s decision-making process — not your company’s story.

What’s included

Everything that goes
into your document

01
Situation Summary
A concise restatement of the client’s need, problem, or goal that demonstrates you understand their situation before presenting any solution.
02
Proposed Solution
Your offering, explained clearly and specifically in terms of outcomes for the client — not features of your service.
03
Scope of Work
A clear, detailed description of what you will deliver, what is excluded, and what the client’s responsibilities are. Ambiguity in scope creates disputes — we remove it.
04
Value Proposition & Differentiators
Why you, specifically, rather than the alternatives. Framed from the client’s perspective: what they gain, what risk they avoid, and what they can’t get elsewhere.
05
Pricing & Terms
Clear, unambiguous pricing presented in the format most appropriate for the engagement: fixed fee, retainer, milestone-based, or per-unit.
06
Timeline & Deliverables
A realistic project timeline with key milestones and deliverable dates. Sets expectations clearly before the engagement begins.
07
Credentials & Case Evidence
Relevant experience, qualifications, or client results presented briefly and specifically — enough to support the proposal, not so much that it becomes a brochure.
08
Call to Action
A clear next step for the reader. Not a vague ‘let us know if you have questions’ — a specific action, deadline, and point of contact.

Who this is for

The right fit for
your situation

💼
Service businesses responding to client briefs
Consulting, marketing, legal, accounting, design, or any professional services firm responding to a client request for proposal (RFP) or crafting an unsolicited pitch.
🤝
Businesses seeking strategic partnerships
A partnership proposal requires a different structure than a client proposal — mutual benefit must be demonstrated clearly on both sides.
🌏
Immigrant business owners pitching Canadian clients
Proposals from non-native English speakers sometimes lose deals not because of the offering, but because of the communication. We fix that.
🏗️
Contractors and trades businesses
Detailed project proposals with scope, timeline, materials, and pricing presented professionally — the kind that wins contracts in competitive bids.
🏢
B2B companies with high-value sales cycles
When a single proposal represents significant revenue, the investment in professional writing pays for itself in one closed deal.
🔄
Businesses with low proposal win rates
If you’re sending proposals and not winning, the writing is usually the problem. We review and rewrite.
Why Planwrit for this

What makes this
worth your investment

01
Reader-first structure
Every proposal opens with the client’s situation, not the vendor’s credentials. This single structural change improves win rates more than any other element.
02
Scope written to prevent disputes
Vague scope creates problems after the contract is signed. We write scope sections with the precision of someone who’s seen what happens when they’re unclear.
03
Value framed in outcomes, not features
Clients buy outcomes. We translate your service features into the specific outcomes your client will experience — in language they can repeat to their own stakeholders.
04
Credentialing that supports, not dominates
Many proposals spend too much space on credentials and not enough on the client’s situation. We calibrate the balance so credentials support the proposal without overwhelming it.
05
Clear, specific calls to action
A proposal without a clear next step gets filed. We write every closing section to invite a specific response within a specific timeframe.
06
Cultural reframing
For immigrant-owned businesses, we ensure the proposal’s tone, directness, and communication style are calibrated for Canadian and North American business culture.

Common questions

Everything you need
to know before starting

Long enough to answer every question the reader has, and no longer. For a straightforward service proposal, 4–8 pages is typical. For complex, multi-phase projects or government RFP responses, 10–20 pages may be necessary. We scope the length in the brief call and don’t pad.

A business plan is a comprehensive internal and external document covering strategy, market analysis, operations, and multi-year financials. A business proposal is a sales document written specifically to win a contract, partnership, or agreement with a specific reader. They serve completely different purposes and are structured very differently.

Yes. RFP responses are one of our most common proposal engagements. We read the RFP carefully, map your offering to the evaluation criteria, and write a response structured to score well on the stated metrics.

Yes. Partnership proposals require demonstrating mutual benefit — what each party brings, what each gains, and why the collaboration makes strategic sense for both sides. We write both client-facing and partner-facing proposals.

Standard delivery is 5–7 business days from a completed brief. If you have an urgent deadline, mention it during the assessment and we’ll advise on rush availability. Many proposals can be delivered in 2–3 business days for a rush fee.
